Policies & Procedures

Scheduling/Eligibility
Scheduling is subject to availability.
Requests for use of reservation will be made through messenger, email or phone.
To confirm a reservation for the space, the client will pay a cleaning fee & refundable security deposit when turning in the rental application (Security Deposit amount depends on event).
Payments will be made via Venmo or Square.
Upon approval by the manager, the client will receive a copy of the signed contract. The Balance of the rental should be paid no later than 14 days prior to the event to confirm and reserve the venue.
If all cleanup procedures were followed and there is no damage, the deposit will be returned to client within 5 business days of the event.
Cancellations
In the event of an Emergency or Weather closing, the entire fee will be applied toward the rescheduled date/time. The main contact listed on the request form will be notified by our staff. It is the responsibility of the renter to notify all attendees.
Cancellations may be subject to additional fees.
The applicant’s signature on the application indicates an agreement to comply with all Station 222 policies, procedures and guidelines. Event Cancellation requests must be submitted in writing at least 14 days prior to the scheduled event. No refunds will be given for any event cancelled less than 14 days prior to the scheduled event. Events booked with less than 14 days notice are non-cancellable.
Event Time
When reserving your event, please take into consideration the time needed for vendors set up (caterers, dj’s and bartender), arranging tables in the way you wish and any decorating. Most events need 1 Hour set up prior to the event.
If during the event you choose to extend the time, the manager must be notified immediately before permission will be granted, and an additional hourly rate may be collected during the event, at the discretion of management.
Music must be done by 11pm to comply with City of Denton Noise Ordinances.
You will have 30 minutes from the end time of the event to clean up and gather belongings FREE of charge.
Publicity/Directions/General Use
Publicity for a meeting must clearly identify the sponsoring group or individual. Publicity cannot state or imply that Station 222 is a sponsor or co-sponsor of an event without its express permission.
Station 222 website may be listed as a source for directions and general information about the facility.
Persons attending the event are subject to Station 222 Rules and Regulations. Failure to comply could result in removal from the property and refusal of future access.
Organizations and individuals using Station 222 space do so at their own risk. The organizer is responsible for the use of the space and the actions of their guests.
Children under the age of 16 may not be left unattended at any time.
Food Prep Area
Caterer of choice is welcome, pending prior approval from management.
Caterers may use the microwave, freezer to store ice, counter space, and sink for cleanup.
Cleanup is required at the end of event time.
Outside Vendors
All 3rd party activities and/or entertainment must provide proof of insurance and be submitted to Station 222 for approval.
Checks may not be left at Station 222 for outside vendors associated with the event.
The client accepts responsibility for the activities and actions of any outside vendors.
Deliveries can only be made to the facility prior to event with permission from management. We are not responsible for storage of flowers, fountains, cakes, etc.
We reserve the right to reject any vendor with whom we have had a previous negative experience.
DJ
Due to the sensitive nature of the interior design, subwoofers and/or high levels of bass are NOT permitted.
The event manager has final say over the volume of the music.
No outdoor amplified music and/or public address systems are permitted after 9:30pm.
DJ/Band must complete music playing by 11:00pm.
Caterers
Please see our approved list of caterers.
Caterers MUST submit a copy of their current county eating and drinking establishment license or equivalent and certificate of insurance showing coverage for liability (property or bodily injury) prior to the event.
Alcohol Options
BYOB is not allowed at any event.
Client provides Alcohol for guests:
Clients must supply liquor and transport it to the venue.
Alcohol may only be served by one of our TABC Licensed Bartenders.
The serving of alcoholic beverages are prohibited to minors and to visibly intoxicated persons.
Kegs are not allowed at any time.
Alcohol service must be shut down 30 minutes before the end of the event prior to cleanup time. No Exceptions.
No Cash Bars allowed at any event, at any time.
Depending on regulations, events with alcohol may require security officers.
Sound System/Apple TV
An iPad is available for use by the client to access the sound system and apps.
Client is responsible for setting an appointment with management for a walk through to explain how to use the equipment, 24 hours prior to the event.
Clean Up/Trash Removal
Organizations and individuals are responsible to dispose of their own trash in dumpsters located in the back of the facility.
A Dumpster and a Recycling Dumpster have been provided for your disposal.
All items must be bagged and secured prior to being placed inside the dumpster.
All boxes and recyclable materials must be broken down properly prior to being placed inside the recycling dumpster.
Client is responsible or ask caterer to clean the food prep area and return all areas to their previous condition.
All wood floors should be swept, and the bar station wiped up.
Damages
The organization or individual reserving the space assumes all responsibility for damage to Station 222 and is responsible for leaving the premises in the same condition in which it was found.
Damage to the facility or equipment will be billed directly to the organization or individual responsible for the space, as indicated by the application signature.
Any damage must be reported to Station 222 staff immediately.
If there is any damage, breakage, theft, breach of communicated time limit or excessive clean up, the amount to cover such occurrence will be deducted from the deposit.
If the cost exceeds the deposit on file, the client will be billed for the balance.
Disclaimers
Station 222 is not responsible for any damage to or theft of equipment used or left.
Station 222 will notify the organizer of any equipment left behind and will allow 5 business days for its retrieval. At the end of that time, the item(s) will be disposed of at the discretion of Station 222.
Station 222 reserves the right to revoke permission granted to an organization and individuals for use of space due to previous rental and breach of contract.
Organizations which do not fulfill their obligations as enumerated in this policy may be denied future use. A list of these organizations will be maintained and referenced periodically as deemed necessary.
Station 222, their employees or contractors shall not be liable to any group, organization, or person attending an event.
Any group, organization, and person, jointly and severally, hereby agrees to, and shall indemnify and hold harmless Station 222, their employees and contractors, from any and all claims, suits, damages, losses or injuries which they may sustain, or are alleged to have sustained, while using the event space, outdoor area, kitchen, restroom facilities and means of egress and ingress to the building.
Restrictions – The following are STRICTLY prohibited
Smoking/Vaping inside or outside the event center.
Candles not enclosed in glass
No animals unless approved by staff
Paper Lanterns
Bird Seed, Rice, Confetti or Glitter
No items may be taped, tacked or nailed to the doors, windows, walls or floors.
Fog machines, pyrotechnics, displays or props involving water, and other special effect equipment with potential for fire or water damage.
**Rentals are not transferable to another individual or organization.**
Any breach of this agreement will be grounds for event cancellation and loss of Security Deposit.
